01Who we are
This website, octopi-digitalai.com, is operated by Octopi Digital AI, a specialised brand of Octopi Digital LLC (“we”, “us”, “our”). We provide AI-assisted video editing for reels, shorts, ads, podcasts and promo videos.
This policy explains what information we collect through this website and our services, why we collect it, and the choices you have.
02Information we collect
Information you give us
- Contact form: your name, email address, company or brand (optional) and your message, plus the page you sent it from and the time it was sent.
- Consultation booking: when you book a call, the booking calendar collects the details it asks for (such as your name, email, phone number and chosen time).
- Project materials: footage, audio, brand assets, briefs and feedback you share with us when we work together.
- Communications: anything you send us by email, chat or video call.
Information collected automatically
- Our hosting provider keeps standard server logs (such as IP address, browser type, pages requested and time of request) to deliver and secure the site.
- This website does not use analytics, advertising or tracking cookies of its own.
03How we use your information
- To reply to your enquiry, prepare a quote and schedule consultations.
- To deliver, revise and support the video editing work you ask us to do.
- To send project updates and service-related messages.
- To keep the website secure, prevent abuse and fix technical problems.
- To meet legal, accounting and tax obligations.
04Legal bases for processing
Where data protection laws such as the GDPR or UK GDPR apply, we rely on:
- Contract: to take steps you request before an agreement and to deliver the services you buy.
- Legitimate interests: to respond to enquiries, run and secure our business and improve our services.
- Consent: where we ask for it, which you can withdraw at any time.
- Legal obligation: where the law requires us to keep or share information.
05Service providers we use
We share information only with providers that help us run the website and our services, and only as needed for that purpose:
- LeadConnector (HighLevel): receives contact form submissions and powers the consultation booking calendar. The booking calendar is embedded from LeadConnector and may set its own cookies; its use is governed by LeadConnector’s privacy policy.
- Website hosting provider: serves the website and keeps server logs.
- Playbook: hosts our full video portfolio. Links to Playbook open their website, which has its own privacy policy.
- File sharing and editing tools: such as cloud storage you use to share footage with us, and the editing and AI tools we use to process your project.
We do not sell your personal information, and we do not share it for third-party advertising.
06Your footage and content
Footage, audio and other materials you send us are used only to deliver your project. Where our workflow uses AI tools (for example, transcription or captioning), they process your files solely to complete your edit.
We will only feature your finished videos in our portfolio or marketing with your permission, and you can ask us to remove them at any time.
07How long we keep information
We keep enquiry and booking information for as long as needed to respond and follow up, and project files and records for as long as needed to deliver the work, handle revisions and meet legal obligations. When information is no longer needed, we delete or anonymise it. You can ask us to delete your project files sooner.
08Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct inaccurate information;
- ask us to delete your information;
- object to or restrict certain processing;
- receive a copy of your information in a portable format;
- withdraw consent where we rely on it;
- complain to your local data protection authority.
Residents of California and other US states with privacy laws can request access to or deletion of their information, and we will not discriminate against you for using these rights. To make a request, contact us.
09Security
The website is served over HTTPS, and we limit access to client information and project files to the people who need it to do their work. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
10International transfers
We work with clients and service providers in different countries, so your information may be processed outside the country where you live. Where required, we use appropriate safeguards for these transfers.
11Children
Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has sent us information, please contact us and we will delete it.
12Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it was last changed. Significant changes will be highlighted on this page.
